Privacy notice

Draft for review. This notice explains what personal data we hold about you, why we hold it, who sees it and how long we keep it. The data controller is Lioncap Ventures (Pvt) Ltd, registration 16326A02102024, of Harare, Zimbabwe, trading as ZimCompany.

Last reviewed 10 September 2026. These terms apply to ZimCompany, a service registering and administering companies in Zimbabwe.

Who is responsible

The controller is Lioncap Ventures (Pvt) Ltd, registration 16326A02102024, Harare, Zimbabwe. Questions about this notice, or any request about your data, go to [email protected].

We process personal data in Zimbabwe under the Cyber and Data Protection Act [Chapter 12:07] and the statutory instruments made under it.

What we collect

Enquiry data. Your name, email address, telephone or WhatsApp number, the country you live in and your answers to the questionnaire.
Identity and verification data. Identity documents or passports, proof of address, and where required a declaration of the source of funds, for every person going onto a company register.
Company data. Proposed names, ownership splits, directors and members, addresses, and the filings we make for you.
Billing data. What you were quoted, what you paid and when. Card details are handled by the payment provider and are never stored by us.
Technical data. The page you arrived on, the campaign or referrer that brought you, and standard server logs.

Why we hold it

To give you an estimate and answer your enquiry. On the basis of steps taken at your request before entering a contract.
To perform the work you engaged us for. Preparing and lodging filings, and instructing licensed providers on your behalf.
To meet legal obligations. Including identity verification and record keeping expected of businesses that arrange company formations.
To bill you and keep accounting records. And to send service messages about work in progress.

We do not sell personal data. We do not use your identity documents for marketing. Marketing emails are sent only where you asked for them, and every one carries an unsubscribe link.

Who sees it

The filing agent and the accounting practice we instruct. They receive only the data needed for the filing you asked for.
Government bodies. The registry, the revenue authority, the social security authority and, where relevant, the procurement authority, because the filing is addressed to them.
Our service providers. Hosting, email delivery, document storage and payment processing, each bound to process only on our instructions.

Documents are stored encrypted and are shared through expiring links rather than left in messaging threads. We remove client documents from chat threads once they have been filed into the document store.

How long we keep it

Client files, including identity documents, are kept for twelve months after your last completed job and then deleted, unless a retainer is active, in which case they are kept for as long as the retainer runs and for twelve months after it ends.

Accounting records are kept for the period Zimbabwean tax law requires, which is longer than twelve months and applies to invoices and payment records rather than to identity documents.

Enquiry data from someone who never became a client is deleted twelve months after the last contact.

Your rights

Access. Ask what we hold about you and get a copy.
Correction. Have inaccurate data corrected.
Deletion. Ask us to delete data we no longer need to hold.
Objection. Object to processing, including any marketing.
Complaint. Complain to the Postal and Telecommunications Regulatory Authority of Zimbabwe as the data protection authority.

Write to [email protected]. We answer requests about your data within the period the Act allows, and we will tell you if a legal obligation stops us deleting something you have asked us to delete.

Cookies and analytics

This site does not set advertising cookies of its own. Where analytics are enabled they are used to count page visits and to measure which pages produce enquiries, not to build a profile of you. The WhatsApp button is a plain link and sets nothing until you click it.
